The first purchase order placed with a new Chinese sanitary ware supplier carries the highest risk of any order in the supply relationship. The supplier is unproven in your specific market context, your quality requirements have not yet been operationally demonstrated, and the consequences of a problem—delayed delivery to a construction project, a defective batch returned by end customers—land entirely on the importer. A structured qualification conversation before the first order is placed dramatically reduces these risks.
Ask: Can you provide a copy of your current business licence and verify that it covers faucet and valve manufacturing? Can you provide your ISO 9001 certificate with the certification body name so I can verify it online? For each product in my enquiry, can you confirm which certifications (WRAS, CE, ACS, NSF) apply and provide the certificate document for independent verification? Do you hold REACH compliance documentation for the materials used in your electroplating and surface treatment processes?
Ask: What brass alloy specification do you use for the tap bodies—can you provide a material certificate from your brass supplier? What is the cartridge brand and model used in this product, and what is its rated cycle life? Have the specific models in my enquiry been 100% pressure-tested? Can you provide the salt spray test report for the finish specified in my order? Are the aerators replaceable, and what flow rate do they deliver at 3 bar?
Ask: What is your current production schedule, and can you confirm availability for my target delivery date? What is your typical production lead time from PO confirmation to goods ready? What is your current monthly production capacity for this product category? Do you have the production flexibility to expedite if my project delivery date is tight? How do you handle production scheduling during Chinese national holidays?
Ask: Can I receive a counter-sample before production begins? What is the sampling lead time and cost? Do you retain a production reference sample from my order for comparison if a quality dispute arises? Will you accept a third-party pre-shipment inspection commissioned by me?
Ask: What is your warranty period and what does it cover? If a quality problem is identified in my market after delivery, what is your claims process? Do you maintain spare parts (particularly cartridges and aerators) for products I purchase, and for how many years after production? What is the typical response time for a quality issue resolution?
Finally, ask for reference contacts at two or three of your existing international clients—importers or distributors in markets similar to yours who have purchased the same or similar products. The willingness to provide references, and the quality of the conversation with those references, tells you more about a supplier's reliability than any document check alone. A supplier who hesitates to provide references is a supplier who is not confident in their customers' satisfaction.
